Lead Follow-Up & Automation Calgary

Making sure nothing sits — every call returned, every quote sent, every enquiry landing somewhere you actually look.

  • Find out how much is actually leaking
  • Put every enquiry in one place
  • Make the missed call answer itself
  • Make the quote chase itself

Sound familiar?

You’re probably here because…

“Calls get missed after hours or when we’re on a job.”

“Quotes sit for three days and then the customer’s gone elsewhere.”

“Enquiries come in through five different places and some just get lost.”

What’s actually going on

Almost everything sold to a small business under the heading of marketing is about getting found. Practically nobody sells a fix for the other half — what happens in the minutes and days after somebody actually gets in touch — even though that is where a large share of already-paid-for work quietly disappears.

The mechanics are unglamorous and consistent. A call comes in while you are under a sink, on a roof, or driving. It goes to voicemail. The person calling has three other numbers and is not emotionally invested in you specifically, so they call the next one, and whoever answers gets the job. Nothing about that is a marketing failure — you paid to generate that call and then lost it to timing.

The same thing happens with quotes. Most quote losses are not a decision against you; they are silence. The customer meant to reply, got busy, and by the time they remembered somebody else had followed up. A message that goes out automatically on day three, and stops the moment they respond, recovers a meaningful share of that for no ongoing effort.

About custom software and AI

Most of what is described above is configuration rather than software — connecting things you already have so that nothing depends on somebody remembering. That is deliberate: a small piece of configuration you understand beats a custom system you depend on us to maintain.

We do build custom tools when a workflow is genuinely specific to how you work and nothing existing fits it. What we will not do is lead with that as a headline. It is the least verifiable claim in this industry, we have not published examples, and asking you to take a capability on faith is exactly the thing the rest of this site refuses to do.

One disclosure, because it cuts both ways. The assessment on this site scores your answers with a fixed set of rules — a decision tree, written down, not a model. We could describe it as AI-powered and nobody would check. It is not, and saying so is the whole point of publishing how things work.

The work

What we’d do, in order.

  1. 01

Find out how much is actually leaking

Call your own number after hours from a phone nobody recognises. Send yourself a quote request. The gap between what you think happens and what does is usually the whole business case.

  2. 02

Put every enquiry in one place

Phone, text, website form, Facebook, marketplace apps. When enquiries live in five inboxes the ones that get answered are the ones that happen to be seen, not the ones worth the most.

  3. 03

Make the missed call answer itself

An automatic text within seconds of a call you could not take, saying who you are and when you will ring back. This is the single highest-return thing on this page for a trade that works with its hands.

  4. 04

    Make the quote chase itself

A follow-up that goes out whether or not anyone remembers, at the interval you choose. Most quote losses are not a decision against you — they are silence.

  5. 05

Build something custom only if nothing off the shelf fits

Most of this is configuration, not software. We reach for a build when the workflow is genuinely yours and no existing tool matches it — and we will tell you when that is not the case.

What you actually get

Every deliverable, and how often.

No bundles, no “strategy” line item you can’t inspect. If it isn’t on this list, we didn’t promise it.

  • Leak audit Where enquiries currently arrive, which channels nobody checks daily, and what that is costing in missed contacts. One-time
  • Single inbox Every enquiry channel routed into one place you already look, with nothing depending on who remembered to check which app. One-time
  • Missed-call text-back An automatic reply to calls you could not answer, in your words, within seconds. One-time
  • Quote follow-up Automatic follow-up on outstanding quotes at intervals you set, that stops the moment they reply. One-time
  • Response templates The four or five replies you send constantly, written once, so answering fast is not a writing task. One-time
  • Custom tooling Only where an off-the-shelf tool genuinely does not fit. Scoped and quoted separately, never assumed. By agreement

The difference

How this usually gets done, and how we run it.

How it usually goes How we run it

A CRM is purchased, configured over six weeks, and quietly abandoned.

We start with the smallest thing that stops the biggest leak, usually in days. A CRM is a destination, not a starting point.

“AI-powered” is the headline, and the mechanism is never explained.

We say what each piece actually is. If something is a rule running on a schedule, we call it that — dressing a decision tree up as AI is the one credibility slip this does not survive.

Automation gets sold as the first thing, because it demos well.

It is stage five for a reason. If nobody is finding you, automating the follow-up on enquiries you do not get is an expensive way to feel organised.

The system belongs to the agency, and leaving means rebuilding.

Accounts and configuration in your name. If we stop working together it keeps running.

What this doesn’t fix

Worth saying plainly, because paying for the wrong thing is the most expensive mistake on this list.

This works on enquiries you already get. If very few are arriving, the most sophisticated follow-up in the world has nothing to follow up — visibility comes first, and we will say so rather than sell you the interesting part.

Local SEO

If you cannot tell which enquiries turn into work, you cannot tell whether any of this helped. Measurement belongs alongside it, not afterwards.

Tracking & reporting

How you’ll know it’s working

Agreed before any money is spent, so there is something to hold us to.

  • How many calls go unanswered, before and after — the number most businesses have never actually seen.
  • Time from enquiry to first response, which is the number that decides most competitive quotes.
  • How many outstanding quotes get a reply after an automatic follow-up that would not otherwise have gone out.
  • Measured before anything is switched on, because “it feels more organised” is not a result.

What you won’t get from us is a promised ranking, a promised number of leads or a promised date. Nobody controls those, and quoting them before the work starts is guessing with your money.

What it costs, and who does it

A fixed number before anything starts, agreed with you first — not an hourly rate that drifts. What the number is depends on what we find, and we would rather look before quoting than quote and revise.

Before you ask

The questions we actually get.

Is this AI?

Some of it can be; most of it is not, and we will always tell you which is which. Missed-call text-back is a rule, not intelligence. Where a language model genuinely helps — drafting a reply you then approve — we will say that plainly rather than putting "AI-powered" on it.

Do I need to buy new software?

Usually one inexpensive tool, sometimes none. A large part of this is connecting things you already pay for. We will tell you the cost before you commit and it goes in your name.

Will customers know it is automatic?

The missed-call text should sound like you and should not pretend to be a live person. Anything that pretends gets found out, and it costs more than the speed gained.

What if I just want someone to answer the phone?

That is a legitimate answer and sometimes the right one. We are not going to sell you automation when what you need is a person, and we will say so.

Can you build something custom for how we work?

Sometimes, and only when nothing off the shelf fits. It is scoped and quoted separately, and we would rather talk you out of it than build something you have to maintain forever.

What will you not build?

Anything that misleads your customers about who or what they are talking to. Anything that needs constant babysitting from us to keep working. And anything where an existing tool already does the job for less than we would charge you to rebuild it.
